Loading PDFs in Bulk If you want to prepare a large number of PDF files for bulk loading into Tizra, the instruction below give a brief overview of how to prepare metadata and PDFs. Note: Before proceeding with these steps, we recommend you contact Tizra to discuss the details specific to your bulk content loading. It may also help to provide Tizra with an empty spreadsheet containing only the column headings you expect to need for each field, so that we can spot any potential issues before you invest any effort in populating them. Metadata Should be based on an Excel file downloaded from the current site. It's OK to add new fields to the spreadsheet if desired, but they should be to the right of the existing fields. Names of any new fields should be indicated in the column headings, with no spaces or unusual characters, and obviously must be unique. Should be an .xls file NOT an xlsx, or delimited text file. Should include an indication of the desired data type for each field. Likely options... o Text--Good for most things, unless you want special sorting or search matching. (Normal search matching is on whole words.) o Keyword List--Good if you want search to require that a whole string, including spaces and hyphens, be entered to bring up a match. Also causes the keyword picker to pop up when you're entering data by hand via the control panel interface, making it easier to enter values that are already in the system correctly. o Number & Number with Decimal --Use these if you want to be able create lists that sort numbers in numerical order. Searches require an exact match. o Date--Must be in YYYY-MM-DD format. Allows you to sort chronologically. Search requires an exact match. o True/False--Obvious...I think. Should NOT contain computed or linked fields. The sheet needs to be self-contained, not requiring any external sheets. Should in any cases where multiple values are included in one field (such as authors or keywords), separate the values with semicolons. Should reference the PDF file associated with each record in a field that simply gives the PDF's filename, without an extension. The metadata must EXACTLY MATCH THE FILENAME, INCLUDING CASE. PDFs Filenames should be simple, unique identifiers, without spaces or other unusual characters. Should have any required fonts or font subsets embedded Should not be locked or encrypted. !
