User Availability The User Availability field (Figure 251) allows you to select a group of Users that the Collection applies to. This field works with User Account Sets, which allow you to create groups of Users from the Tags you have linked to your Users on their User Properties screen. By default, all Users can see the Collection. If you select a User Account Set, no Users outside the Account Set will be able to see the Collection displayed on your web site. For example: You may create a User Account Set called “Reviewers” so that only reviewers can see the Collection. All the Users who are included would, for example, have the Tag “Reviewer” (on their User Properties screen). Once created, the “Reviewer” Account Set will display in the drop down list in the User Available field on the Collection Properties screen. Once logged in, those included in the User Account Set will be able to view the Collection. Note: Selecting a User Account Set in this field does NOT mean that people cannot access the Collection. Anyone who has the URL can view it. It only prevents the Collection from showing up wherever you display your Collections Index on your web site. In other words: the Collection is not publicly visible, but it is still accessible. User Tip: You can use the User Availability field to better organize what may be hundreds or even thousands of Documents, etc. in your Tizra Publish system. By creating Collections visible only to a certain group of Users, such as “Administrators,” for example, you can then easily view a Collection’s Content via the Site Browser (Figure 252).
